1. Purpose and Applicability

This Refund Policy applies to admissions, registrations, program fees, instalments, batch bookings, and related payments made to IgnitedMinds Academy for online, hybrid, campus-embedded, or other coaching and mentorship services, unless a separate written program-specific policy is expressly issued.

2. Important Principle for Digital and Academic Services

The academy provides time-bound educational services, digital access, academic planning, counselling effort, class seats, and study resources. Because these services begin creating value from the point of enrolment, refunds are not equivalent to returns of a physical product. Any refund decision is therefore subject to access status, timing, program stage, resource consumption, and administrative cost.

3. Non-Refundable Items

  • Application, registration, admission, booking, or seat-confirmation fees.
  • Convenience fees, payment gateway charges, taxes where non-recoverable, and banking charges.
  • Charges attributable to counselling, onboarding, issued study kits, printed material, digital resources, or already-activated student accounts.
  • Amounts already consumed toward delivered classes, assessments, mentoring, or academic services.

4. Refund Eligibility Window

  • A refund request may be considered only if submitted in writing within 7 calendar days from the date of payment or before substantial academic access is used, whichever is earlier.
  • If a program-specific admission communication provides a different written refund window, that specific communication shall prevail for that program.
  • No refund shall ordinarily be available after extensive access to recorded content, repeated attendance in live sessions, download of substantial material, or commencement of a significant portion of the course.

5. Cases Where Refunds May Be Considered

  • Duplicate payment or excess payment verified by the academy.
  • Failure to provide the promised program due to academy-initiated cancellation with no reasonable alternate arrangement accepted by the student.
  • Documented technical or administrative error attributable solely to the academy and materially affecting activation of the enrolled service.
  • A written request made within the permitted window where the student has not substantially accessed the service.

6. Cases Where Refunds Will Not Normally Be Granted

  • Change of mind after enrolment.
  • Personal schedule conflict, relocation, exam pressure, or inability to attend.
  • Dissatisfaction based solely on academic difficulty, pace, performance, or subjective expectations where services were made available as described.
  • Failure to use the account, attend classes, or engage with the program after access has been enabled.
  • Disciplinary action, policy breach, plagiarism, abusive conduct, or suspension for misconduct.
  • Requests made after the permitted timeline or after substantial course consumption.

7. Batch Transfers, Deferrals, and Alternatives

In appropriate cases and subject to academic feasibility, the academy may offer a batch transfer, deferred access, alternate program mapping, credit adjustment, or replacement support instead of a cash refund. Acceptance of such an alternative shall be treated as full settlement of the refund claim for that payment unless expressly agreed otherwise in writing.

8. Academy-Initiated Cancellation

  • If the academy cancels a batch or program before meaningful service delivery, the student may be offered either a transfer to another batch or a refund of the recoverable amount.
  • If only a part of the service has been delivered, any refund may be prorated after deducting charges for the portion already delivered and non-refundable components.

9. Instalments and Outstanding Dues

Where payment is structured in instalments, access and continuation remain subject to timely payment. Non-use of services during an instalment plan does not automatically cancel future payment obligations if the seat has been reserved, access has been activated, or services have already commenced under the agreed payment arrangement.

10. Refund Request Process

  1. Send a written request from the registered email address to academy@mindlogicx.com with student name, registered mobile number, program name, payment details, date of payment, and detailed reason for the request.
  2. Attach proof of payment and any supporting document relevant to the claim.
  3. Allow the academy reasonable time to verify access logs, academic records, payment status, and policy applicability.
  4. Respond promptly if additional information is requested during the review.

11. Refund Processing Timeline

If a refund is approved, the academy will process the approved amount within a reasonable period through the original payment mode or another lawful mode chosen by the academy. Actual credit timelines may depend on banks, payment gateways, and financial institutions.

12. No Guarantee of Selection or Outcome

Educational services are delivered on a best-effort professional basis. Refunds will not be issued merely because a student did not achieve expected marks, rank, admission, or selection outcomes.

13. Policy Interpretation and Dispute Handling

The academy reserves the right to review facts, system logs, attendance, content access, and communication history before deciding any refund request. The academy's decision shall be made reasonably and in line with the written policy, admission communication, and applicable law.
